Executive Assistant to the CEO – Partner with the CEO to prioritize, manage, liaise and communicate on behalf of the CEO to allow him to optimize and organize his time. Be a conduit for the CEO’s communication.

POSITION SUMMARY
The Executive Assistant to the CEO is responsible for providing comprehensive support to the CEO, Managing Member as well as the Senior Executive Officer and portfolio managers. This position requires the ability to anticipate needs, think critically and offer solutions with a high level of thoroughness and privacy.
This role is an Executive Assistant role and NOT A PERSONAL ASSISTANT ROLE.
PRIMARY RESPONSIBILITIES
Quality
Perform work in a near-perfect, accurate manner to eliminate the need to redo work
Prioritize & Take Initiative
Provide calendar management (including knowledge of time zone differences) for CEO Rank inquiries while using judgment to ensure a seamless day
Schedule appointments
Take the initiative to plan for what could go wrong and take steps to mitigate things that do go wrong
Manage & Confidentiality
Manage your time to allow you to assist the CEO to manage his time
Manage all information in a confidential manner
Administer
Invoice clients. Prepare invoices and manage payments.
Tax compliance, assuring taxes are prepared in a timely manner
Must be proficient at the following: Outlook, Zoom, bill payment systems.
Book all travel and travel-related services, professional and personal.
Administrative matters include procuring all items for the office such as printer paper, printer cartridges, beverages and snacks etc
Prepare wire transfers and T & E management
Must be well versed in Microsoft and Office Suite
Send and receive wires and record in appropriate software
Analyze
Create, edit and enhance Excel spreadsheets and PowerPoint/desktop publishing presentations
Review contracts. Edit and assist in wording
Complete, edit and interpret subscription documents
Complete Due Diligence Questionnaires with perfect accuracy
Verify that items governed by investment regulations are conforming
Communicate & Liaise:
In oral and written communications, be clear and clarify that the issue, problem and message is completely understood
Write original letters and emails on behalf of the firm and CEO
Know clients by name and treat them in a curated way so that they feel respected
Possesses an elevated level of people IQ and emotional IQ in order to effectively deal with a diverse set of internal and external customers and clients
Respond to emails and phone calls to the CEO
Liaison with IT outsourcing, accountant and legal advisors.
QUALIFICATIONS
Five plus years partnering with a C-level executive
Hold yourself to personal standards which are always far greater than any employer would expect
People with whom you work often say that you just “get it”
Robust written and verbal skills
Detail-oriented with excellent organization skills.
Ability to prioritize and manage the time of self and principals. Able to generate own tasks and conduct work in an independent fashion with low or remote supervision
Capable of creating professional presentations and managing social media outreach.
Flexible, ability to change methods when necessary
Ability to act with a proper level of urgency when the situation demands. Able to be discrete in handling confidential information and matters
Professionalism when dealing with people from diverse backgrounds
Prefer a basic accounting knowledge of accounting and bookkeeping capabilities and investment advisor compliance knowledge.
Must be flexible with time, hours and working in different time zones
Excellent judgment
Proficiency in several languages a plus, most notably, Arabic
